What is the Activity subsidy & Housing?
The UG wants formation of its students to take place not only within education and research, but also through participation in extracurricular activities and active participation in an organization. Therefore, certain organizations are eligible for Activity subsidy and/or Housing from CUOS.
The Activity subsidy or Housing is awarded directly from CUOS on behalf of the Board of the University. They are reapplied for each year and have a combined application process. However, it is also possible to apply for only Activity subsidy or Housing. The support is always complementary in nature and is therefore not awarded if the organization can provide the necessary funds itself.
The application must meet the substantive and procedural requirements under "Application Activity subsidy & Housing. These rules are strictly followed. To this end, CUOS tries to provide organizations with as much information as possible, but is not responsible for any deficiencies in the application. Refer to the CUOS Privacy Statement to see what happens to submitted documents after the application is processed. After the deadline, CUOS reviews applications and the decision is posted on the Decisions page.
The Board of the University adopts the Activity subsidy & Housing Regulations below, by which CUOS is bound. The basis for these Regulations are the CUOS Regulations.
Excluded organizations
The following organizations are not eligible for support through Activity subsidy or Housing:

Social student organizations;

Sports organizations;
-
Study- or faculty-related organizations.
Application Activity subsidy & Housing
Deadline: January 31, 11:59 p.m.
CUOS will consider applications submitted in accordance with both the substantive and procedural requirements. Deviations from these requirements will not be accepted. No rights can be derived from previous applications.
Substantive requirements
All documents will be prepared in exact accordance with the instructions below. This means that - depending on the number of applicable documents - each organization will submit a minimum of 9 and a maximum of 12 documents, unless otherwise agreed with CUOS. Additional documents will not be read. Also, the indicated formats in terms of format and content cannot be changed. However, the organization name [org] may be entered both with and without legal form (i.e. foundation or association). Also make sure to enter the correct year [year] in the file name, when applicable.

Content: Form B is a summary overview of your application. General information about the student organization in question, a checklist of the documents to be supplied, the content of the application itself, etc. are all contained herein. The activities for which funding is being requested should be well elaborated. A clear breakdown of costs should also be shown, refer to another document provided if necessary.

Content: The adopted annual financial reports for the past two fiscal years are provided in duplicate. These adopted annual financial reports shall include at least an income statement, balance sheet and accompanying notes. Document 4.2 contains the most recent reporting year and 4.1 the previous reporting year.
Required: Signatures of two directors (if not yet signed, signatures of current directors also suffice).

Content: Form J is submitted in duplicate (i.e. of the past two years) and describes the policy pursued in each reporting year. Document 5.2 contains the most recent reporting year, 5.1 the previous reporting year.

NB: In many cases, the five sections can be completed using the company's own secretarial annual reports, but these are not included. Moreover, this concerns the same form J as was supplied with the applications Student Support Fund.

Content: An overview of the number of board members, already existing committees, project groups and University Council factions and similar. This includes the names of those currently involved and an indication of their workload in hours per week. Insofar as not already mentioned in the annual reports or Form D, the overview will have to show who is responsible for realizing the organized and planned activities.

Content: The justification of the previous year includes an annual report + annual accounts, including at least: a justification of the use of the funds received, a summary and explanation of the activities undertaken, and a global overview of the number of participants in the activities, including an indication of the ratio of RUG students, any HG students and non-RUG or HG students.
Procedural requirements
Submitting the application is as follows:

including all requested documents (so no link to a drive or something similar);

before the deadline of January 31, 11:59 p.m.;

by one of the board members of the organisation to be assessed.
NB: The address cuos.aanvraag rug.nl is for documentation of the compulsary documents only. After downloading the documents, the email of the relevant application will be deleted - unread. If you do want to comment besides the documents, please do so by sending an email to cuos.secretaris rug.nl, to and from which address all communication regarding the applications will be sent.
Justification
Within two months of the end of the organization's financial year, the organization must send an annual report and annual accounts to cuos.financien rug.nl, including at least:

A justification of how the funds received have been spent;

a list of and explanation of the activities undertaken;

a global overview of the number of participants in the activities, including an indication of the ratio of RUG students, any HG students and non-RUG or HG students.
NB: If a new application is made for the Activity subsidy & Housing the following year, the justification should be attached as a copy (see document 8 of the application). In that case, the justification will therefore be sent to both cuos.aanvraag rug.nl and cuos.financien rug.nl, although not necessarily at the same time.
