Information for partners

Nomination of your student(s)

If our universities have signed a bilateral exchange agreement, you can nominate* your student(s) by sending us an email on exchange.in.arts rug.nl (include name, email address, field of study, level during exchange and period of exchange) before our nomination deadline.

Nomination deadlines for starting in September:

  • 1 May for students from Australia, Canada, EU/EEA countries, Japan, Monaco, New Zealand, Vatican City, United States of America, South Korea
  • 15 April for students from all other nationalities

Nomination deadlines for starting in February:

  • 1 October for students from Australia, Canada, EU/EEA countries, Japan, Monaco, New Zealand, Vatican City, United States of America, South Korea
  • 15 September for students from all other nationalities

*If an exchange is cancelled after nomination, please inform us of this cancellation as soon as possible, to avoid unnecessary email communication.

Registration of your student(s)

After we have accepted your nomination(s), there are 3 more steps for your student(s) to complete the registration process:

1.   Based on your nomination the student(s) will be provisionally accepted as an exchange student at the Faculty of Arts. We will send you and the student(s) updated information about our application procedure and practical matters to think about when preparing their studies in Groningen (by e-mail). Your student(s) can now apply online.

2.  After your student(s) has/have completed the online application (including all required documents), we will send you and the student(s) a 'letter of acceptance' by e-mail. We will register your student(s) as an exchange student at the Faculty of Arts.

3.   The study adviser for exchange students will contact your student(s) about (the approval of) the course selection.

Before your student(s) arrive

Once your student(s) have been accepted by us for an exchange, there are still a lot of steps necessary to arrange a successful exchange semester. The checklist below will help them to efficiently organize everything in time. They should also check the Studying in Groningen brochure that we sent to them for more detailed information about the various steps.

  1. If applicable, apply for visa
  2. Arrange accommodation
  3. Activate their UG account (activation instructions will be sent to their private email address, check Spambox)
  4. Upload photograph to get student card
  5. Arrange trip to Groningen; make sure to be in Groningen in time for all compulsory events
  6. Arrange health insurance
  7. If applicable, arrange learning agreement (it is possible that you provide this document to your student and it needs to be signed by us)
  8. Register for Movin’ to Groningen
  9. Register for an ESN buddy

When your student(s) arrive in Groningen

A good start is essential for your student's study success and enjoying their time as an exchange student in Groningen. In order to make the most out of their stay in Groningen, it is necessary to get introduced to their new (academic) environment and we therefore organize several introduction events.

When your student(s) leave

At the end of the exchange the Academic Record(s) of your student(s) will be automatically provided when all the final grades have been registered in our system.

The process takes us up to 4-6 weeks, so you can expect the list of grades halfway through August for your full year and spring semester student(s) and halfway through March for your fall semester student(s). We will sent the academic record(s) digitally and directly to your address. Please let us know if you need the original hard copy/copies sent as well, and if so, to which address.
