How many printed copies of the dissertation do I need to submit to the PhD Degree Registration Office?
You do not need to submit any copies of your dissertation to the PhD Degree Registration Office. You only need to submit two copies to the University Library.
PhD Ceremony
Are children allowed to attend the ceremony?
This depends on the age of the child.

Aged 7 and older
Children aged 7 and older are allowed to attend the ceremony. -
Under the age of 7
Children under the age of 7 can stay in a faculty room with a babysitter during the first, official part of the ceremony. The ceremony can be followed via livestream from the faculty room. Children under 7 are welcome to attend the second part of the ceremony, the laudatio.
Is it allowed to take photos during the ceremony?
It’s not allowed to take photos during the official part of the ceremony. However, photos may be taken before the ceremony begins, during the laudatio, and after the ceremony has concluded.
Will I receive a recording of my PhD ceremony?
Yes, you will receive a professionally edited recording approximately six weeks after the ceremony has taken place.
The recording will be sent to your preferred email address as listed in Hora Finita.
PhD Ceremony Date
When can I reserve a date for my PhD ceremony?
You can reserve a date for your ceremony once the following steps have been completed:

Your manuscript has been uploaded.

Your supervisors have approved the manuscript in Hora Finita.

Your primary supervisor has entered the proposed assessment committee in Hora Finita.

The dean of the Graduate School has approved the proposed assessment committee.

The beadle of the Graduate School has sent your manuscript to the assessment committee.
Once step 5 is completed, you will receive an email from Hora Finita stating that you can reserve a defense date. You can then choose an available time slot in the PhD ceremony calendar.
When does the PhD ceremony date become definitive?
The date automatically becomes definitive once the manuscript has been approved by the assessment committee and the title page is approved by the PhD Degree Registration Office. You do not need to contact the PhD Degree Registration Office to finalize the date.
I am unable to reserve a date for my ceremony. What should I do?

I am unable to log into Hora Finita. What should I do?

Reimbursement printing costs
How can I apply for the reimbursement of the printing costs of my dissertation?
From three months before the set, final promotion date, you will receive an e-mail message from the UG finance department with the subject: "Toegevoegd aan declaratie opdracht RUG / Added to expense claim assignment for the RUG".
Via the UG declaration portal you can apply for reimbursement of the printing costs of your dissertation (maximum €750).
If this is your first time using the declaration portal, we will ask you to provide your IBAN number.
If necessary, we will also ask you to provide your date of birth and BSN number.
Please note! Without these details, we cannot transfer payment to you!

Some Graduate schools offer an additional fee for printing costs. Please contact your faculty's graduate school about this.
