University account (for students)

What is a University account?

A University account gives you access to University facilities including:

  • Student Portal
    This is where you find University and degree programme-related information and where you can start up other facilities, including:
    • Course catalogue
    • Marks and registration
    • Student email (Google Apps for Education: planner, chat, documents and web pages)
    • Electronic files from the University Library
  • Student workstations at various locations

Your University account comprises your student number and a password.

In order to access your student account you first need to set up the secure log-in method Multi-factor Authentication (MFA).

When am I entitled to a University account?

Everyone who registers for a degree programme at the Univeristy via Studielink is allocated a University account.

The account will be deleted if you decide not to study at the University.

How can I activate my University account?

You can activate your University account using the Password Self Service Portal.

  • Enter your student number (the 'S' included).
  • Click 'activate account'.
  • You will receive an access code and further instructions on your private email. This is the email address that you specified in Studielink.

When can I activate my University account?

This depends on the starting date of your degree programme.

  • Starting date 1 September: You can use your account immediately with an active application.
  • Other starting date: You can use your account immediately with an active application.
Exception

Are you an exchange student, guest student or course participant? In this case your University account will be created 3 months before the starting date of your programme.

How long will my University account remain active?

For as long as you are registered for a degree programme at the UG. After your deregistration is finalised you will have access to your University account for another 8 weeks.

Can I extend the 8-week access to my University account after deregistering?

After deregistration you will continue to have access to your University account for another 8 weeks. Your files and email messages will be saved for one year. Your University account will be reactived if you start a new degree programme within a year.

You can request an University account extension if you have to use certain University facilities for more than 8 weeks after your deregistration. You can submit your request via Application form University account extension (students).

I am graduating soon, how do I save my data in my University account?

Once you have graduated, your access to IT facilities also stops. Make sure to move or store your emails, data in other Google Apps (f.e. Drive) and your data on X:\ in time.

You will receive an email with instructions on how to activate your University account.


Blocking a University account

Why has my University account been blocked?

There are several reasons why your RUG Account could have been blocked.

  • You have not paid your tuition fees.
    Your account will be blocked if you have not paid your tuition fees in full by the starting date of your degree programme, or have not signed a direct debit mandate.
  • There were insufficient funds in your account (payment by direct debit mandate).
    Your account will be blocked if the direct debit mandate for part or all of your tuition fees failed. This is probably because there are insufficient funds in your account.
  • You have deregistered.
    Your account will be blocked 8 weeks after you received the email about your deregistration.
How can I unblock my University account?

This depends on the reason why your RUG Account was blocked:

  • You have not paid your tuition fees.
    Pay full tuition fees or submit a direct debit mandate as soon as possible. If you fail to do so, your University account will be definitively cancelled.
  • There were insufficient funds in your account (payment by direct debit mandate).

  • You have deregistered.
    Your account will only be reactivated if you start a new degree programme at the UG within a year of deregistration.
I have paid my tuition fees/an instalment. When will my University account be unblocked?

That will depend on how you paid your tuition fees.

  • Paid in cash or by card
    Your University account will be unblocked by the next day at the latest.
  • Transfer to the UG bank account
    Your University account will only be unblocked once the UG has received the payment. This can take up to ten days in extreme cases.
Can I still send or receive emails if my University account is blocked?

Yes, you will continue to receive emails on your account. However, you will not be able to read these emails because you will not be able to log into the UG network or your inbox.

Forwarding option switched on?

The forwarding option will continue to work during the blocked period so your emails will continue to be forwarded to your private email address.

Tip

If you are tidying up your University account because you have deregistered, make sure to set up an automatic reply.

What will happen to my details if my University account is blocked?

Your email messages and your files will be saved until your account is unblocked.

Exception

Has your account been blocked because you deregistered? In this case your emails and files will be stored for 309 days. After 309 days your account will be permanently deleted. You will not be notified of this.


Cancelling a University account

When will my University account be cancelled?

You have 8 weeks (56 days) to move your emails and files to a secure location after you received the email that you are officially deregistered.

Blocked

After 8 weeks, your account will be blocked, although your emails and files will be saved for a further 309 days.

Permanent removal

After 309 days your account, including any email messages and files, will be deleted permanently. You will not be notified of this.

How will I know when my University account is going to be cancelled?

Once you have officially deregistered, you will receive an email with the date on which your University account will be blocked.

What happens to my University account if I start a new degree programme within a year?

Your University account will be reactivated.

Practical information

  • You can log in with your student number and your usual password.
  • Your files and email messages will have been saved.
