How can I deposit a data archive?

Question

How should I deposit a data archive? What if my files are very large?

Answer

The data are deposited by sending an email with the full reference of the publication, and the zip file of the data archive to gelifes-data rug.nl. For sending larger files (>5 MB) the service SURF File Sender can be used, or other file transfer services such as Unishare, Dropbox, Google Drive, WeTransfer. Provide with each data archive that is submitted a formatted description of the publication. For journals and book chapters, use the Annual Review of Ecology, Evolution and Systematics journal format for the bibliographic reference. Do not abbreviate the author list to et al., and include the DOI of the paper (can be found through Web of Science).

To ensure general accessibility of the archives, all file names, metadata and other description files and comment lines in code must be in English. File names should not contain special characters other than dashes (-) or underscores (_); use underscores instead of spaces.

For MSc ad PhD thesis archives, start the file name always with a standard prefix; for papers the prefix can be omitted:
  • MSc_thesis_<lastname>_<year>.zip
  • PhD_thesis_<lastname>_<year>.zip
  • <lastname>_<journal>__<year>.zip

For a PhD thesis, include the promotores in the description, for example:
File: PhD_thesis_vanderPlas_2013.zip
Description: F. van der Plas (2013). Understanding trait-based community assembly in tropical savannahs at different trophic levels. PhD thesis, University of Groningen. Promotor: H. Olff

For a MSc thesis, also include the project supervisors and the s-number of the student in the description, for example:
File: MSc_thesis_Eerkens_2013.zip
Description: M. Eerkens - s1910248 (2013). Engineering an ecosystem engineer: Geese-Zostera-Sediment feedback. MSc thesis, Community and Conservation Ecology. Supervisors: W. Fokkema & H. Olff

For a journal paper, use for example:
File: Schrama_etal_PPEES_2013.zip
Description: Schrama M, Veen GF, Bakker ES, Ruifrok JL, Bakker JP & Olff H (2013). An integrated perspective to explain nitrogen mineralization in grazed ecosystems. Perspect. Plant Ecol. Evol. Syst. 15: 32-44, DOI: 10.1016/j.ppees.2012.12.001
