Erasmus+ - training staff

Conditions

Within the EU it is possible for teaching staff/supportive staff of the faculty of Arts to take a training/course at a partner institution or other institutions. Funding to cover trip and stay abroad is available. Partner institutions sometimes have training/courses available upon request, but you can also look for courses, plan working visits at a (partner)institution yourself and make sure beforehand it is possible to cover via this Erasmus staff training programme by contacting the faculty office via erasmus.arts rug.nl.

Regarding the limited availability of places via Erasmus-staff training at the University of Groningen, every application will be send to and reviewed by the department International Relations at the Central Office of the University to be sure that the application can be awarded positively.

Requesting and booking a trip

  • Please complete the Application form for a foreign trip . Make sure you estimate your budget as accurately as possible. Don’t forget to make a note of the R number in the top right corner of the form as you will need this number to book your trip and claim your expenses.
  • Ask your manager to sign the form for approval and send it in to the faculty office via erasmus.arts@rug.nl.
  • The approved form will then be signed and submitted on your behalf to the Financial Administration Department (FAC) for registration.
  • You may then book your trip with the Uniglobe travel agency, tel. 050-3601580. This is where you will need the BR number described above: Uniglobe is not able to accept and approve your trip until it has received an e-mail from the FAC stating that the trip has been approved internally and assigned an R number.
  • You will also need an approved travel request form to be covered by the collective travel insurance.

Reports related to the trip

1. When signing an Erasmus+ contract, the procedure is as follows:

  • Proposal to sign a contract is presented to the Faculty of Arts International Office ( international.office.let rug.nl ) with a brief motivation of the need and desired results.
  • The International Office will evaluate the motivation and where necessary pass it on to the policy department/Faculty Board
  • After approval, the International Office will ensure that the contract will be signed accordingly and publish it on the website as a gateway to exchange opportunities for students. The relevant exchange coordinator of the degree programme will also be informed.

2. In order to qualify for a grant via Erasmus+, the following forms must be completed and signed:

  • Erasmus+ Training Mobility Agreement
  • Erasmus+ Grant Agreement (tentative version)

Reimbursement of costs

  • Please complete the Claim form for travel abroad (don’t forget to state your R number!) and submit the form and all receipts and other evidence of expenses to be claimed to the Faculty Board secretariat. Please also enclose your boarding pass if you travelled by plane! Only original proofs of payment will be processed – photocopies will not be accepted.
  • The Faculty has the right to refuse full payment of claim forms (and deduct amounts for which receipts are missing) if a claim form is not fully completed or if forms and/or proofs of payment are missing.

Grants

In 2013-2014 the European Commission provided €75 per diem for each working day and €300 travel costs by the European Commission. The exact amounts for 2014-2015 are not made available yet. . Additional EU allowances may be awarded in exceptional cases if extra costs are incurred. Such additional allowances must be applied for in advance and explicitly justified in an accompanying letter. Grants will be supplemented by the Faculty within reasonable limits – this is one of the reasons why we need you to estimate your budget as accurately as possible in your travel request. Substantial additional expenses incurred without prior consultation will not be reimbursed.
