Safe and Responsible use of AI

Ethics, Privacy and Risks

AI has many benefits, but also contains some risks, especially concerning our privacy and security. In order to lessen these risks, there are a couple of things you should keep in mind. Transparancy, accountability and proper oversight, are essential to benefit from the use of AI without compromising our privacy, security and rights.

Guidelines for the use of Generative AI

If you work or study at the UG and use AI tooling, please follow the following guidelines:

Privacy and Data protection

  • Do not share any personal or organizational details while using AI systems.
  • Do not let or sell personal data.
  • Adhere to the GDPR (General Data Protection Regulation) and other laws and regulations. 

Intellectual Property

  • Check thoroughly whether the AI-generated content complies with copyright laws and whether permissions have been properly obtained.
  • Use plagerism tools to identify duplicates.
  • Always cite the source and author when you are using specific information, quotes or ideas from copyrighted works. This applies to texts, as well as images, video and audio.

Responsibility and Transparancy

  • Monitor AI-generated content to avoid the dissemination of inaccurate or discriminatory information.
  • Do not let AI make decisions about other people without human intervention.
  • Never use AI for illegal, damaging or discriminatory activities.

There are no specific guidelines for AI in research. Of course, the general guidelines do apply.

There are no specific guidelines for AI in business operations. Of course, the general guidelines do apply.

Using new AI tools and acquiring AI software

Would you like to acquire new AI software or do you have questions about the use of AI? We advise to always discuss this with your privacy and security coordinator. All the software applications for UG employees, which include applications for AI tools, have to go through the central software application process. Due to the privacy and security risks that the use of some AI tools contain, not all AI tools are allowed.

UG's AI policy

Within the UG, we are working hard at the harmonization of UG policy on the use of generative AI. The AI Office does not make these policies. If you have questions about the development of AI policies, please contact:
