Access and library cards

Student card

Anyone is free to consult the books in the open collection in the University Library or the faculty libraries.

You will need a library card if you wish to borrow items from the library. Students of the university can use their student card to borrow library material.
Library cards are available free of charge for:

  • Staff of the University of Groningen
  • Former staff of the University of Groningen who left the employ of the library due to retirement (including early retirement, FPU) or for health reasons (WAO, disability benefit)
  • Staff of other universities in the Netherlands (including the Open University)
  • Students of other universities in the Netherlands (including the Open University)
  • Students of the Senior Academy (HOVO)

Membership

Other users can obtain a library card for the relevant fee.
A library card valid for 12 months costs € 40,00.
The ‘Martinikaart’ provides combined membership of the University’s libraries and the Groningen Public Library, and costs € 51, € 61 or € 77 (depending on the type of public-library membership). The Martinikaart is available from the Public Library.


Requesting a library card

Library cards can be obtained from the Main Loans Desk of the University Library (UB). Some faculties issue separate cards for staff. Information is available from the faculty library.
Applicants must provide valid proof of identity in order to receive a library card. The following are accepted:

  • passport or identity card
  • driving licence
  • a valid public transport card (OV card)

Staff from other universities will be required to provide a letter of confirmation from their employer in addition to valid proof of identity. Students from others universities are required to provide valid proof of identity in addition to their valid student card.

Library users should inform the Loans Desk immediately if they change their address or if their card is lost or stolen: tel. +31 (0)50 3638034.


Day Pass

A Day Pass can be issued at a cost of € 2.50 for occasional visits when material needs to be retrieved from the stacks for consultation in the reading rooms. The user must either pay a deposit of € 20 or leave valid proof of identity at the Loans Desk as security.


Access to online databases and journals

The library card for other users cannot be used from home to access online databases, journals etc. via the Proxy Server of the University Library. These can only be accessed locally at the University libraries. The library card does not allow access to the University Library’s Internet and word-processing facilities either.

These facilities are only available to students and staff of the University of Groningen who have an S (student) number or P (personnel) number and password. Click here for all information about the Proxy Server.


Access to library systems for retired staff and staff receiving pre-pension benefit

Staff who have retired (including early retirement) can continue to access the Library’s online databases and journals via the  Proxy Server . Log-in requires the usual combination of P number and password (RUGIDEM).

On retirement, they can apply to their faculty’s HR Department to change their employment status to ‘external’ (OEP). This means that their P number and e-mail address will remain valid.

The library card will remain valid, but must be taken to the Loans Desk so that the necessary changes can be made.

N.B. The above applies only to retired staff, not to staff who change jobs and leave the University!


Companies

Companies from the provinces of Groningen, Friesland and Drenthe can obtain a library card for a charge of € 70 per year (including VAT). The card can be used by any employee of the company.

N.B. Companies cannot use the library card to access the University’s online databases and journals from their own premises. These facilities can only be accessed from the University network.

If companies with a library card require material that is not part of the University’s collection, the University Library can request it from other libraries within or outside the Netherlands.
