Costs for courses within the GSMS PhD (training and education) Program

The courses of the GSMS PhD (training and education) Program are free for BCN PhD students, although PhD students from the Faculty of Science will have to pay the courses from their 'rucksack'1.  This means that BCN PhD student are free to apply for course organized bij GUIDE, SHARE and Kolff Institute.

Financial support for external courses/activities1

The budget for external courses/activities is 600,- per (calendar) year. Please fill in the application form 'Financial support for external courses' [DOC] beforehand, and sent or email the form to the BCN PhD coordinator (d.h.koopmans@umcg.nl).

For PhD students with an employee status (AIO’s) some courses might be covered by the P&O department of your faculty, so please consult P&O first.  GSS PhD students should contact their Graduate School office (Yvonne van der Weerd: y.van.der.weerd@rug.nl).

Financial support for visiting conferences1

It is of great value for PhD students to gain an international view of their scientific field. BCN supports active (presenting a poster or giving an oral presentation) participation in international conferences.

Preconditions to receive BCN subsidies for courses or conferences:

In advance:

  1. Show BCN-mindedness (by actively participating in the BCN programme)
  2. Try to get a (travel-)subsidy from somewhere else, your CV will definitely profit from it! (You can try for example P&O, the NWO or the travel-grant section of the conference in question. See also http://www.rug.nl/bcn/news/subsidies/index.)
  3. Ask for a BCN subsidy for a conference or a course. Please fill in the application form 'Financial support for visiting conferences' [DOC] beforehand, and sent or email the form to the BCN PhD coordinator (d.h.koopmans@umcg.nl). Wait for a response from BCN (normally we cover/participate in the funding of courses or conferences which are necessary for your project. This only holds true if the BCN contributions for you do not exceed a specified amount per year).

After the conference:

You can declare the amount we agreed upon. Please send the original receipts after you have returned for every item you wish to claim. The following can be declared: hotel costs, conference costs, travel costs to Schiphol if you fly, travel costs abroad and visa. Food costs are not refunded, with the exception of the conference dinner, if this is not included in the registration fee.

No show policy

In recent years we have noticed that some PhD students do not show up at events, even if their participation has been checked beforehand. In this case the group leader will receive an invoice for the associated costs.
